- Project location, property or facility information, project type, requested services, schedule, and project description.
- Information about drawings, reports, photographs, models, equipment, utilities, operating conditions, or jurisdiction correspondence.
- Files, drawings, reports, photographs, models, specifications, messages, and other materials provided with an inquiry or during service delivery.
- Proposal, engagement, billing, project-coordination, and other business records created during a professional relationship.
Technical information
When you use the website, our hosting, security, and related service providers may process limited technical information such as your Internet Protocol address, browser and device information, requested pages, timestamps, referral information, and security or anti-spam signals. When present, we may also process campaign parameters and advertising click identifiers, including UTM parameters, GCLID, GBRAID, and WBRAID. We may use cookies or similar technologies to operate and protect the website, understand website use, and measure outreach or advertising performance.
Unsubmitted Form Information
Vexo does not intentionally create or retain a lead record from information entered into a website inquiry form unless the form is successfully submitted. Information entered but not submitted may be processed temporarily by your browser and by website hosting, security, or anti-spam technologies needed to operate and protect the form.
Campaign parameters and advertising click identifiers may be retained temporarily in your browser during the current browsing session so that a later inquiry can be associated with the page and campaign that brought you to the website. Vexo retains that attribution with a lead record only when the inquiry is successfully submitted.
Analytics and Advertising Measurement
Vexo may use analytics and advertising measurement services, including Google Analytics and Google Ads, to understand website use and evaluate the effectiveness of professional outreach and advertising. When activated, these services may process device and browser information, requested pages, referring sources, campaign parameters, advertising click identifiers, form-submission events, and phone-link interactions. They may use cookies or similar technologies for those purposes.
Vexo uses this information to understand inquiry sources, measure completed inquiry submissions and phone-link interactions, and improve website and campaign performance. Vexo does not intentionally send project descriptions, files, drawings, or the contents of an inquiry to analytics or advertising services, and Vexo does not sell, rent, or trade personal information.
Analytics and advertising providers process information under their own terms and privacy policies.
How We Use Information
- Respond to an inquiry and evaluate whether a requested project is a fit.
- Prepare a proposal, define scope, and establish or administer an engagement.
- Provide, coordinate, document, and support professional services.
- Communicate about project requirements, schedules, deliverables, billing, safety, compliance, and other relationship-related matters.
- Maintain appropriate business and professional records.
- Operate, protect, and improve the website and inquiry process.
- Understand inquiry sources and measure website, outreach, and advertising performance.
- Prevent fraud, abuse, or security threats.
- Comply with legal and professional obligations, respond to lawful requests, enforce our agreements, and protect our rights.
Communications
Vexo works with companies and professional clients. When a professional or business contact provides an email address or phone number and submits a project inquiry, that person expressly agrees that Vexo may contact them about the inquiry and related professional services.
Vexo may communicate with that contact by individually initiated email, telephone call, voicemail, or text message. Communications may concern the inquiry, proposal, requested services, scheduling, project administration, billing, safety, compliance, or legal matters.
Vexo sends inquiry and service-related email only to professional or business contacts who submit an inquiry and expressly request follow-up. Vexo does not send unsolicited marketing email.
Vexo does not currently use automated or prerecorded calling campaigns, automated text-message campaigns, or automated marketing email campaigns. The inquiry process may send a confirmation email after a successful submission. Once a professional engagement begins, Vexo may continue to communicate with the submitting contact under the engagement terms and project instructions.
You may ask Vexo to stop nonessential communications by contacting legal@vexoengineering.com. We may continue communications that are necessary to respond to an active request, perform an engagement, administer an account, address safety or legal matters, or comply with an obligation.
How We Disclose Information
- Employees, contractors, and authorized members of the Vexo project or business team.
- Professional consultants, subconsultants, and project participants involved in evaluating or delivering requested services.
- Service providers supporting website hosting, security, anti-spam controls, communications, analytics, advertising measurement, document storage, information technology, payment or accounting functions, and business administration.
- Architects, contractors, owners, owner representatives, consultants, permitting authorities, utilities, and other parties involved in a project, as appropriate to the engagement.
- Legal, accounting, insurance, and other professional advisers.
- Government authorities or other parties when required to meet a legal or professional obligation or to protect rights, safety, property, or security.
- A successor or potential successor in connection with a merger, financing, reorganization, sale of assets, or similar business transaction, subject to appropriate safeguards.
No Sale of Information
Vexo does not sell, rent, or trade personal information.
Project Materials and Confidentiality
Unless Vexo agrees otherwise in a signed engagement agreement, nondisclosure agreement, or other written contract, information and materials provided during an inquiry or in the course of service delivery are treated as non-confidential. They are not accepted as privileged or subject to special or heightened security requirements.
Do not provide trade secrets, highly sensitive personal information, regulated data, or other information requiring special handling unless appropriate written arrangements are in place.
Vexo uses reasonable administrative, technical, and physical safeguards customary for similarly situated professional engineering firms. Vexo uses and discloses project information only for the business, service-delivery, professional, and legal purposes described in this Privacy Policy and the applicable engagement terms.
Nothing in this section limits any confidentiality, privacy, security, professional, or legal obligation that applies to Vexo under a signed agreement or applicable law.
Retention
Vexo does not intentionally retain unsubmitted website form information as a lead record.
Once an inquiry is submitted, Vexo may retain the submitted information and related communications for as long as reasonably necessary to evaluate and respond to the inquiry, maintain appropriate business records, resolve disputes, enforce agreements, or protect legal rights.
If an engagement is established, Vexo may retain project materials, communications, deliverables, and administrative records for as long as reasonably necessary to provide and support the services, meet professional obligations, maintain business records, enforce agreements, or address potential claims.
When information is no longer reasonably necessary, Vexo may delete, anonymize, or securely dispose of it, subject to ordinary backup or archival cycles.
Security
Vexo uses reasonable administrative, technical, and physical measures customary in the industry to protect information against unauthorized access, use, alteration, or disclosure. No website, transmission method, storage system, or security measure is completely secure, and Vexo cannot guarantee absolute security.
Your Information
You may contact Vexo to ask about, correct, or request deletion of personal information associated with you. We may need to verify your identity and locate the relevant records before completing a request. Vexo may retain information needed for professional records, active services, security, disputes, agreement enforcement, or other legitimate business purposes.
